Damage and Replacement Liability
By participating in a Case Files Games Night, attendees agree to the following conditions:
Responsibility for Materials: All participants are responsible for handling society-owned Case Files games and their contents carefully throughout the event.
Damage or Loss: Any participant who causes damage to, destroys or loses any part of a Case Files game through misuse, negligence or deliberate actions may be held financially responsible.
Full Replacement Cost: Where damage or loss makes an item unusable or incomplete, the responsible participant will be required to pay 100% of the reasonable replacement cost necessary to restore the game to its original playable condition. If individual components cannot be replaced separately, this may include the cost of purchasing an entirely new Case Files game.
Payment Requirements: Any replacement payment must be made in full within the timeframe agreed with the society committee. Partial payments will only be accepted with prior committee approval.
Reporting Damage: Participants must immediately notify a committee member if any materials are damaged, misplaced or otherwise compromised during the event.
Fair Assessment: The society committee will assess any reported damage fairly, taking into consideration the circumstances, reasonable wear and tear, and the actual cost of replacement before requesting payment.
Failure to Pay: Failure to settle an agreed replacement charge may result in restrictions on participation in future society activities, subject to the society's constitution and university or students' union regulations.
Participant Agreement
By attending and taking part in a Case Files Games Night, participants acknowledge that they have read and understood this policy and agree to take financial responsibility for damage or loss they cause, as outlined above.
Our aim is to protect society resources, ensure fairness to all members and allow everyone to continue enjoying our events.
